Microsoft is not rushing things when it comes to updating Windows 11 users to the new version of Outlook. It started testing it with Microsoft 365 Insiders back in May 2022 and It started rolling out to more users earlier in 2023, but Microsoft stated it would not force users to switch to the new version yet.

Now it looks like there's a timeframe for the switch to the new Outlook for Windows. The good news is that Microsoft is giving businesses and personal Windows users a lot of time to make that transition.

The company revealed its plans in a message on the Microsoft 365 Message Center (via M365Admin) that's only viewable to the admins. Microsoft stated it would begin replacing the current Mail and Calendar apps with the new Outlook for Windows "starting in September 2024."

The interesting terminology indicates that the September 2024 date may not be set in stone and that Microsoft could give businesses and organizations even more time to make any changes before the transition is complete.

The message also added that while no one needs to make any changes right now, users of the Mail and Calendar apps might see a MailTip notification that will inform them of the upcoming change. It may also encourage them to start using the new Outlook for Windows app.

Microsoft notes further that the new Outlook for Windows application will be usable by Microsoft 365 or Office 365 subscribers, as well as users who use personal email accounts. The latter may use the new Outlook app without a subscription to Microsoft 365 or Office 365.

Microsoft is now "reevaluating the timing" for dumping Mail, Calendar apps with new Outlook
Late last week, Microsoft informed customers of its Microsoft 365 program that it planned to start replacing the current Windows Mail and Calendar apps with the new Outlook app in September 2024. Now it looks like the company is backtracking on that plan, at least for the moment.

In 2022, Microsoft started testing a new version of Outlook for Windows for Microsoft 365 Insiders. In 2023, it started rolling out this new version as a public preview. Now Microsoft is getting ready to transition users from the older Outlook clients to the new Windows version.

Microsoft Outlook team members discussed plans for the new Windows version in an extended video posted on the Microsoft 365 YouTube channel.

The video featured Robert Navitsky, the Partner Director of Engineering for the Outlook team along with Margie Clinton, who is Microsoft's Principal Group Product Manager for that same team.

The new Outlook for Windows email app is now generally available for personal use
Microsoft has just announced that the new Outlook for Windows email app is now generally available for personal email accounts. The new versions of the app has been available in a public preview version since May 2022. You can now download the app on the Microsoft Store.

In a blog post, Microsoft added that the new Outlook will be preinstalled on all new PCs that have the Windows 11 23H2 version installed as well, along with some PCs that will upgrade to 23H2. Microsoft had already hinted the new Outlook app might be installed with the Windows 11 23H2 update.

The new Outlook for Windows email app is now generally available for personal use

To receive desktop notification, the app has to be running in the background always unlike the previous Mail & Calendar app. That's a big turn off.

Microsoft is now working on offline support for the new Outlook for Windows as well, which was recently released to the public [...]
On the Microsoft 365 roadmap, under the feature ID 178030, Microsoft has added this new item which will allow users to view mail, calendar events, and contacts as they will be stored offline locally on your device automatically. Additionally, mail actions like composing, flagging, moving, and deleting will work too. The feature was added earlier today and it is set to start rolling out next month.

I applied this update to the desktop app yesterday, it didn't go well, it scrambled my inbox and changed the sort setting among other things. In the end, I had to delete all the messages in the inbox, over 5k, a first for me. I was able to review and recover the recent messages that I wanted from the 'Recently Deleted' folder although I only went back about a year, maxed out my attention span.

Microsoft Answers: Will the new Outlook for Windows 11 support Exchange ActiveSync accounts?
No, the use of the EAS protocol is not supported and also won't be added. It was available in previous versions of Outlook (2013) to support the old Hotmail/Outlook.com infrastructure but since that has been switched to the Exchange Online infrastructure, EAS support within Outlook has been deprecated in later versions (2016) and even completely removed in current versions.
