Reset a Windows 11 PC for sale without confusing Clean data with a certified wipe

Selling or donating a PC requires more than deleting visible files. Microsoft recommends Reset this PC > Remove everything with Clean data for a consumer handoff, then removing the device from your Microsoft account. It also cautions that this data-erasure feature is aimed at consumers and does not meet government or industry erasure standards. If the machine held regulated or highly sensitive data, follow the organization's approved destruction or sanitization process instead.

Before you start

Transfer and test your files, app licenses, password-manager access and recovery keys before starting. Sign out of services where their vendor provides a deauthorization step. Keep the laptop on power and allow time for the reset, which can have a black screen for many minutes. Confirm you own the device and it is not under an employer's return policy.

Do it step by step

  1. Complete a migration checklist and open representative documents on the replacement PC or independent backup. Record apps that need deactivation.
  2. Open Settings > System > Recovery > Reset PC. Choose Remove everything rather than Keep my files for a sale or donation.
  3. Review the additional settings and enable Clean data. Choose cloud download or local reinstall based on connectivity and recovery needs, then confirm the correct device.
  4. Allow reset and restarts to finish without forcing power off during a long blank-screen period. Stop at the initial Windows setup screen; do not sign in for the next owner.
  5. From another trusted device, sign in to your Microsoft account's device page and remove or unlink the sold PC as Microsoft's handoff guidance describes.
  6. Check any organizational management enrollment and vendor account separately if relevant. Keep sale records and never hand over a recovery key or account password.

Check the result

The PC starts at first-run setup with no old user profile visible, cloud device listings are cleaned up and the old files remain available in a tested independent backup.

If something goes wrong

If reset fails, use official recovery media or vendor service after preserving data. If the PC held regulated data, ask IT for certified sanitization; repeating consumer reset is not proof of compliance. If a BitLocker prompt appears, use the correct recovery key.

Know the limit

Clean data makes recovery harder for ordinary users but Microsoft says it does not satisfy government or industry data-erasure standards. Cloud copies and accounts require separate handling. Microsoft Reset your PC Before selling a Windows PC

Decision checkpoint

The data-sensitivity level determines the retirement process. A family laptop with ordinary personal files can follow Microsoft's consumer reset path; an employer laptop or regulated dataset requires its owner's approved procedure. If the internal drive is removed for separate destruction, document that handoff. Removing a device listing from an online account is housekeeping after the wipe, not a substitute for erasing local data. Keep the seller's test limited to the setup screen.

Aftercare

Keep the transfer and reset records until the sale is complete. Confirm the device was removed from online listings only after the local reset and first-run verification.
