What retention means
Retention is how long a backup service keeps older copies or deleted items before removing them. A service may retain several versions, only the latest snapshot or deleted files for a limited period. The rules can differ between personal and work accounts.
A practical example
You notice a spreadsheet was overwritten two months ago. OneDrive version history may have older versions, but its published retention and your organization's policy determine what remains. A deleted item in a personal OneDrive recycle bin is normally available for up to 30 days. Microsoft's

What to ask
Before relying on a backup, check how many versions it retains, how long deleted items remain and whether you can restore after losing the main account. Test with a disposable file. A green backup status without retention history may not protect against an error noticed late. Record the date after which a needed version is likely gone.
