Small teams often grant full control because it makes every button work. Meta says full control also allows a person to remove the owner or delete the Page. Many jobs require only partial Facebook access or task access in Meta Business Suite. Assigning the lowest workable role protects the Page while still letting an editor post, a support person answer messages or a marketer manage ads.
Before you start
Define the work before inviting anyone: content, messages, community activity, ads, insights or ownership. Confirm which Page and any linked Instagram or ad assets are in scope. Do not share a personal Facebook password to avoid role setup. If the Page belongs to a business portfolio, its asset assignment flow may differ from the standalone Page screen.Do it step by step
- Switch into the Page and open Settings, Page setup, Page access. Review your own role and the current users. Meta says only a person with full control can manage Page access.
- For a collaborator who needs to use Facebook as the Page, evaluate Facebook access with partial control. For someone working only in business tools, evaluate task access and select the needed task categories. A live-stream chat moderator may have a distinct community-manager role.
- Invite the collaborator's real account and select the narrow role. Explain what they may do and when access expires in your organization. Avoid adding a shared team profile; named accounts make offboarding and accountability possible.
- Ask them to accept and test a representative task using their own account. Check that they cannot reach unrelated settings or assets. If the role is too narrow, change a specific permission rather than immediately granting full control.
- Record the role, owner and review date. Revisit it after a campaign, job change or contractor departure. Review the list of full-control users more frequently because they can reassign access.
- If the collaborator also needs Ads Manager or Instagram, inspect those asset permissions separately. An apparent Page role may not grant the entire workflow, and adding broad Page ownership is not the right fix for an ad-account permission gap.
