Limit copying and downloading a shared Google document honestly

Google Docs and Drive can hide download, print and copy options from viewers and commenters. This can deter casual duplication, but a person who can read information may still photograph it, transcribe it or see it through another permission path.

Before you start​

Identify the exact file and its parent folder. Check who has Editor access and whether an organization policy controls the setting.

Do it step by step​

  1. Open the file in Drive or Docs and select Share, then the sharing Settings control.
  2. Turn off the option allowing viewers and commenters to download, print and copy. Keep Editor access only for people who truly need to change the file.
  3. Check General access and named recipients. Set Restricted where broad link access is unnecessary.
  4. Review the parent folder: someone with broader folder access may still reach the file even if you tried to narrow the file's direct sharing.
  5. Test using a viewer account you control. Confirm the ordinary export options are absent and that the viewer can still perform the intended task.

Check the result​

The Share settings and a viewer test should show the restriction. A collaborator's ability to read the material remains, so evaluate whether sharing itself is appropriate.

If something goes wrong​

If the setting is locked, the owner, shared-drive manager or administrator may control it. Do not copy the file into a less protected account just to bypass policy.

Know the limit​
