Make essential OneDrive files available before going offline

OneDrive Files On-Demand shows cloud files in File Explorer without necessarily downloading their contents. A blue cloud icon means a file is online-only; opening it normally downloads it. That is efficient on a small laptop but dangerous when you are about to travel or lose connectivity. Mark only the documents you will need as always available, wait for them to finish downloading, and test offline before you leave.

Before you start​

Check your OneDrive account and whether sync is healthy. Estimate the required disk space, including large media. An organization may manage sync settings. Work on a trusted computer because downloaded files remain locally available and need the device's normal disk encryption and screen lock.

Do it step by step​

  1. Open File Explorer and locate the actual OneDrive folder for the intended personal or work account. Do not assume a similarly named Downloads folder is syncing.
  2. Choose the files or project folder needed offline. Right-click and select Always keep on this device. Avoid applying it to your entire OneDrive unless you have enough storage and genuinely need every file.
  3. Watch OneDrive's status indicator and wait for the selected items to show the always-available green circle/check state. A locally available green check after opening a file can later become online-only again; the explicit Always keep choice is the durable offline preference.
  4. Disconnect from the internet briefly and open representative documents, including attachments or linked files if needed. Do not edit a live collaborative document during the test unless you understand how changes will sync later.
  5. Reconnect, confirm OneDrive reports a healthy sync and check for conflicts. If you edited offline, inspect the final document rather than assuming every merge completed cleanly.
  6. When the trip ends, right-click unneeded local copies and select Free up space if you want to reclaim disk space. Verify the item is visible in OneDrive on the web before relying on the cloud copy.

Check the result​

Essential files open while disconnected, their intended status appears in Explorer, and any later changes have synced. Available disk space remains sufficient for Windows and applications.

If something goes wrong​

If a download stalls, inspect OneDrive's sync errors, storage quota, network and account sign-in. Do not delete the local file to fix a placeholder problem. If a third-party security product interferes, use its official troubleshooting guidance.

Know the limit​

Always keep is an availability choice, not a backup or protection from accidental deletion: sync can propagate changes and removals. Online-only files cannot open offline. Keep an independent backup of irreplaceable work. Microsoft Files On-Demand status and actions
