What it means
Personal Vault is a special OneDrive area that requires an additional verification method to open and locks after inactivity. It is designed to limit casual access to sensitive personal files. A backup, by contrast, is a separately recoverable copy that survives deletion, corruption or account trouble. Putting the only copy in Personal Vault improves access control but leaves availability dependent on the same account and service.
A real-world example
A scanned passport lives only in Personal Vault. The owner loses access to their Microsoft Account and cannot complete the verification step. The vault's extra lock did not preserve a separately retrievable copy for travel.
What to do
Use Personal Vault for sensitive working files, test its unlock route on each supported device and maintain an encrypted independent backup. Review old copies in ordinary OneDrive folders, scanners and Downloads after moving documents.
The distinction that matters
A vault lock is not a promise that malware cannot read a file while the vault is unlocked. The account's sign-in protection, device security and recovery methods still matter. Personal Vault is for personal OneDrive subscriptions and supported platforms; do not assume identical behavior on every work account. Copies created before a move may survive elsewhere. Check the original folder and mobile camera roll after you confirm the vaulted file is readable.
