Restore an older Windows 11 file without overwriting the good version

Previous Versions can rescue a document after an accidental edit, but clicking Restore directly may replace the current copy. Microsoft explicitly warns that the replacement cannot be undone through that action. The safer workflow finds the correct folder and date, previews the older version, restores to a new location and compares the two. This also avoids confusing a File History version with an unrelated cloud-sync conflict.

Before you start​

Keep the current file intact and make a copy of it before experimenting. Connect the File History drive used when the older version was created. Note the approximate time before the unwanted edit, the exact original path and the file extension. If the file is in OneDrive, check that service's version history separately too.

Do it step by step​

  1. Navigate in File Explorer to the actual folder containing the damaged file, not merely its library shortcut. Right-click the file or containing folder and choose Restore previous versions.
  2. Review available dates and select a version from before the mistake. If the file was deleted, inspect a previous version of the parent folder.
  3. Use Open or preview to confirm the older content is the version you want. Do not infer correctness from the date alone if multiple edits happened that day.
  4. Choose Restore to... and select a new empty folder, preserving the current file. Microsoft warns a direct Restore can overwrite the existing copy.
  5. Open both versions in the relevant app and compare content, formulas, attachments or formatting. Copy only the needed material into a new working document when possible.
  6. After verifying the result, save it under a clear name and keep both copies until colleagues or the app confirm it behaves correctly.

Check the result​

The older content is usable at a separate path and the current file remains intact for comparison or recovery of newer edits.

If something goes wrong​

If no versions appear, check whether File History was enabled and the drive connected at the relevant time. Search OneDrive or the app's own version history if appropriate. A file created after the last backup cannot be recovered from a version that never existed.

Know the limit​

Restore previous versions depends on prior backups or available snapshots; it cannot reconstruct arbitrary edits. Direct replacement can destroy newer content, so use a separate destination first. Microsoft File History restore

Decision checkpoint​

Restoring to a new location is especially important for spreadsheets and documents where newer changes may still be valuable. Merge selectively rather than rolling the whole file back if only one paragraph or formula was damaged. Preserve both filenames and dates in your comparison notes. If the file was shared, coordinate with collaborators before uploading the recovered copy so their more recent edits are not overwritten by sync.

Aftercare​

Keep the recovered and current copies under distinct names until the project owner confirms which changes should be retained. Avoid letting cloud sync overwrite collaborators' versions.
