Someone saves over a shared file and the current document loses a section. Dropbox version history can restore an earlier state of that file, but a rollback replaces the current version. If collaborators have edited since the mistake, a careless rollback can hide their legitimate work. Previewing and preserving both versions turns a potentially destructive recovery into a controlled comparison.
Before you start
Identify the exact filename, folder and approximate time of the overwrite. Ask collaborators to pause editing temporarily. Download or copy the current version somewhere separate before rollback when it contains work you may need. Check that the file is actually stored in Dropbox; some web-based documents have different version systems.Do it step by step
- On dropbox.com, find the file and open its ellipsis menu, Activity, then Version history. Dropbox lists previous snapshots within the version-history window for your plan; open the entries around the reported incident.
- Preview candidate versions rather than choosing only by date. Compare a distinctive paragraph or spreadsheet cell with the expected old and current content. Note who changed the file if the activity view provides that detail.
- Preserve the present version under a clearly named independent copy if it has valid new edits. Tell collaborators which version will become the shared current file, so they do not continue editing a stale local copy.
- Select the correct historical version and use Roll back to this version. Confirm the choice on Dropbox's final screen. The restored older version becomes the current file after synchronization; its name does not change.
- Open the restored file on the web and verify the missing section. Wait for desktop sync, then reconcile any valuable later edits from your preserved copy. Avoid copying the whole stale file over the restoration without comparing differences.
- Review sharing and backup practices after the incident. For critical collaborative files, maintain an independent export or backup as well as Dropbox history, and decide who should have edit rights.
