Restrict a Zoom cloud recording before sharing its link

A Zoom cloud recording can contain faces, shared screens, chat and confidential discussion long after the meeting ends. A copied share URL can travel beyond the intended team. Zoom's recording settings can limit who may view, require a passcode, set an expiry and control downloading, depending on the account and administrator policy. The safest workflow is to inspect the recording content and audience before copying the link, then test the recipient experience from a separate account.

Before you start​

Confirm you own the recording or have authorized administrative or scheduling access. Wait until processing completes before testing playback. Identify any material that should be trimmed, withheld or handled under a retention policy. Do not upload the file to an unrelated sharing service merely because a Zoom setting is unavailable; ask the account admin about the approved route.

Do it step by step​

  1. In Zoom's recording management, open the exact meeting and date. Inspect each recording file and transcript, since one meeting may produce multiple assets. Confirm you are not about to share the wrong session.
  2. Open Share and choose the narrowest Who can view option that meets the need, such as named people or signed-in users of your account where available. Everyone with the recording link is a broader audience even if a passcode is also used.
  3. Set a viewing passcode and an expiration date when appropriate. Decide whether recipients should be allowed to download. Copy the current link only after the settings are saved; Zoom can generate a new unique link when the shared audience changes.
  4. Test from a controlled account outside the allowed group and one inside it. Confirm the outsider is refused and the intended viewer can access the right file without excessive privileges. Test the expiry later if the recording is especially sensitive.
  5. Check whether a Zoom Video Management channel or another share path independently grants access. Zoom notes that channel visibility can expose a recording even when the recording's own share is narrower.
  6. Review access again after the purpose ends. Revoke or narrow sharing, remove old emailed links where possible, and follow the organization's retention rule for the actual recording and any downloaded copies.

Check the result​

Only intended viewers can play the correct recording, download behavior matches the decision, and the link expires or is removed when no longer needed. Separate channel access has been checked.

If something goes wrong​

If a setting is missing, an administrator may have hidden or locked it. A recording still processing may be shareable but not playable yet. If an outsider can view it, check whether the link is set to Everyone, the passcode is embedded, or a channel has broader visibility.

Know the limit​

Passcodes and expiry limit future access but cannot recall downloaded, screen-recorded or forwarded content. Disabling download is not protection against a viewer recording their screen.
