A Zoom invitation can be forwarded or copied, and a recognizable display name can be imitated. Waiting Room lets the host control admission before participants enter a meeting. It is useful for a private consultation, interview or support session, but it needs an actual admission procedure: check a guest's identity through a previously known route, review any bypass rules and keep an eye on late joiners. A passcode alone does not perform that human check.
Before you start
Schedule from the Zoom account that will host the meeting. List the expected attendees and their known contact methods. A workplace admin may lock settings, and some Waiting Room options or customization require a paid account. Decide who should be able to bypass the room, especially internal staff or invitees contacted during the meeting.Do it step by step
- In the Zoom web portal, inspect the meeting's Security settings and enable Waiting Room. If the control is grayed out, ask the account administrator rather than assuming the meeting will be protected.
- Review Waiting Room Options. For sensitive discussions, consider requiring everyone to wait rather than allowing members of your account or selected domains to bypass. Note any exception for people invited during the meeting.
- Tell invitees the exact meeting time and who will admit them. Ask them to use a recognizable name, but do not make the name your only identity check. Verify a high-risk participant through a call or address you already know.
- Start a short rehearsal with a trusted secondary account. Confirm that the attendee lands in Waiting Room, that the host sees the entry and that only deliberate Admit brings the attendee into the session.
- When the real meeting starts, admit participants individually if the topic is confidential. If someone unexpected arrives, leave them waiting while you verify through a separate contact path. Watch for a participant who leaves and rejoins under a changed name.
- If the host drops unexpectedly, review how your Waiting Room options handle current participants. Assign a suitable co-host where supported and plan what to do if a decision-maker disconnects. After the meeting, disable any temporary exception you created.
