Set Teams meeting chat to match a sensitive agenda

A Teams meeting chat can exist before and after a meeting, and a recurring series can carry conversation forward between sessions. A channel meeting's chat can be visible to channel members even if they did not attend. For a sensitive interview, complaint or short external presentation, these defaults may surprise organizers. Teams meeting options can allow chat anytime, only during the meeting or not at all, subject to organization policy and meeting type. Choose before posting confidential details.

Before you start​

List attendees, channel membership and whether the meeting repeats. Decide where follow-up materials should live if chat is limited. The organizer should inspect the meeting options from their own account; an attendee may lack permission to change them. Tell participants if a record or persistent chat is intended.

Do it step by step​

  1. In Teams Calendar, open the scheduled event, View event, then Options. Locate Meeting chat. The available options can differ by policy and meeting type.
  2. For a one-off sensitive conversation, consider In-meeting only or Off when no chat transcript is needed. If accessibility requires text discussion, preserve an authorized route rather than disabling it reflexively.
  3. For a recurring meeting, examine who is invited to the whole series. An invitee to only one occurrence should not be assumed to see earlier chat, while series members may see messages across sessions.
  4. If it is a channel meeting, inspect channel membership. Microsoft says channel members can see and add to the channel conversation whether or not they attended. Use a separate private meeting if the audience must be narrower.
  5. During the meeting, check the participant list and chat behavior with a harmless test message. Do not put passwords, identity documents or confidential records into chat merely because the lobby is restricted.
  6. Afterward, revisit the meeting chat and any files or links shared there. Remove or restrict file permissions independently and send approved follow-up through the right channel.

Check the result​

The meeting-chat setting matches the planned audience and time window. The organizer can explain who can read chat after the meeting and where approved notes are stored.

If something goes wrong​

If the chat control is missing, inspect organization policy and meeting type or ask IT. If an external participant cannot see post-meeting chat, that may be expected under Microsoft's attendee rules; share approved material explicitly instead of inviting them into a different broad chat.

Know the limit​

Turning chat off does not retract messages already read or screenshots. A lobby setting controls entry, not the lifetime of chat or file links.
