Teams recording versus transcript access

What it means​

A Teams recording captures meeting media and screen sharing, while a transcript captures recognized speech as searchable text. Microsoft stores recordings in work or school OneDrive or SharePoint, and organizers may manage transcript permissions. A participant who can join a meeting is not automatically entitled to every saved artifact. Some finer audience choices require a particular license and organization policy.

A real-world example​

An interviewee receives the meeting link and attends, but should not be able to download an internal debrief recording. The organizer checks the saved file and transcript access after processing rather than assuming the lobby choice covered both.

What to do​

Locate the recording from the meeting chat or organizer's storage, inspect Manage access, review transcript controls and expiration, and share only with approved recipients.

The distinction that matters​

A transcript can mishear names or technical terms; correct or corroborate important statements before relying on it. Can't download is not a barrier to screenshots or copied speech. Stopping a recording does not erase the portion already captured, and deleting a link cannot reclaim copies. Review applicable consent and retention requirements before recording sensitive conversations.
