A document stuck at Printing can hold the whole queue. Reinstalling the printer and its software may be unnecessary, especially when another PC can print to it. Windows' printer troubleshooting covers queue, spooler and connectivity as separate branches. Start by confirming where the blockage sits: the app, the local queue, the print service, the network or the printer itself.
Before you start
Keep a copy of the document and note the printer's exact model, connection type and any error on its screen. In an office, verify you have authority to clear a shared queue; other users' jobs may be present. Avoid downloading 'spooler repair' utilities. If sensitive pages are queued, retrieve or destroy any partial paper output before retrying.Do it step by step
- Check the printer's display, paper, toner and network connection. Print its own self-test page if supported. If that fails, a Windows queue change alone will not fix the physical device.
- On Windows 11 open Settings > Bluetooth & devices > Printers & scanners, select the correct printer and open its print queue. Check whether the job is paused, whether the printer is marked offline and whether you selected the correct printer in the originating app.
- Cancel only your stuck job first and submit a one-page plain-text test from a different app. If new jobs print, the original document or app may be the issue. If every job sticks, continue with Windows' printer troubleshooter in Get Help.
- If the spooler is implicated, follow Microsoft's supported steps to restart the Print Spooler service; coordinate first on a shared machine. Do not delete arbitrary files in the spool directory without knowing which users' jobs they represent.
- For a network printer, compare another PC on the same network and check the printer's current address. If its address changed, reconnect via the supported Windows Add device path rather than applying a random driver package.
- Print a new test page, then the original file. Verify the queue clears and no duplicate confidential pages emerge. Record the final printer, port and driver for future incidents.
